Microsoft 365 tenants grow almost unnoticed over the years. Project folders, team spaces, and SharePoint sites are quick to set up—but hardly anyone cleans them up afterward. What’s left is a cluttered, disorganized tenant with rising storage costs, poorer search results, and growing compliance risks.
This is exactly where Microsoft 365 Archive comes in: Inactive content is moved to significantly less expensive cold storage, but remains searchable, compliant, and can be reactivated at any time. In this post, we’ll highlight the typical pain points, the benefits of Microsoft 365 Archive—and how we at innobit turn it into a robust, self-service governance and lifecycle solution.
Five Pain Points That Arise Without Archiving and Lifecycle Management
We see these five patterns time and again in practice—they usually occur together and reinforce one another.
Uncontrolled Growth in Storage Costs
Additional active SharePoint storage is expensive. Once the licensed quota is exceeded, the overage is charged month after month—and continues to grow as long as the data volume increases unchecked.
Poorer copilot and search results
Outdated, duplicate, or archived content will continue to be displayed. Copilot and the search function access the active content pool—the more noise there is, the worse the relevance and response quality become.
No defined site lifecycle
Old project folders and team spaces simply remain in place. Without clear rules for archiving or decommissioning, the tenant becomes increasingly cluttered, and no one dares to delete anything.
Oversharing via Old Shared Sites
External parties often still have access to projects that were completed long ago. Access permissions that were never revoked pose an increasing security and compliance risk with each passing year.
What is Microsoft 365 Archive?
Microsoft 365 Archive moves inactive content to a low-cost cold storage tier—all within SharePoint, without the data ever leaving the Microsoft 365 environment. Archived content retains the same security, searchability, and compliance as active data, but at a significantly lower cost.
Archiving is available at two levels. The site-level option moves an entire inactive SharePoint site to the archive—the site no longer consumes active storage quota, content, permissions, and metadata are preserved, and access is only possible again after reactivation. In addition, there is the new file-level archive (available in public preview since March 2026, with general availability planned for mid-2026): It acts like a scalpel for individual inactive files within active sites—such as in long-term HR, finance, or departmental areas that would never be archived in their entirety.
Everything is managed in the SharePoint Admin Center, and billing is usage-based through an Azure subscription (pay-as-you-go)—with no separate license required.
Archiving is not the same as backup—and it is not the same as retention
A common misconception: These three tools serve different purposes and are not interchangeable. Confusing them creates gaps.
Archives
A cost and lifecycle management tool: moves inactive content to less expensive storage and separates active content from inactive content. No protection against deletion, no restore point.
Retention
A compliance tool: uses Microsoft Purview to determine whether content is retained or deleted after a specified period. It does not reduce storage costs—it may even increase them.
Backup
A recovery tool: creates restore points to protect against data loss, ransomware, or accidental deletion. Does not meet compliance retention requirements.
The Benefits of Microsoft 365 Archive
Four points make all the difference—and they address the pain points almost exactly.
About a quarter of the costs
Archived storage costs about a quarter of the price of active SharePoint storage—according to Microsoft's list price, $0.05 instead of $0.20 per GB per month. That's about 75% less for the storage in question.
Lifecycle Management Instead of Accumulation
Instead of a constantly growing pile of “old” content, a manageable lifecycle emerges—active, inactive, archived, and reactivated as needed.
All from a single source
Retention, eDiscovery, legal hold, sensitivity labels, and audit logs remain in effect. The data stays within your geographic and EU data boundaries—nothing leaves the Microsoft 365 environment.
Here's how we do it
Four steps from the initial assessment to a permanently clean tenant space.
Environmental Analysis
Make storage, inactive sites, shares, and risks visible.
Governance Strategy
Define rules, roles, and thresholds for the site lifecycle.
Solutions & Self-Service
Customized implementation with the delegation of "Archive" and "Unarchive" functions to the owners.
Operations & Reviews
Periodic review to ensure that the tenant remains lean and manageable over the long term.
Conclusion
A cluttered Microsoft 365 tenant isn’t a capacity issue—it’s a lifecycle issue. Microsoft 365 Archive resolves several pain points at once: It reduces storage costs to about a quarter of what they were, improves Copilot and search results, streamlines the site lifecycle, and eliminates the conditions that foster oversharing and shadow IT—all without compromising compliance, since the content remains within the Microsoft 365 environment.
What matters isn't just the feature itself, but a solid concept behind it: clear rules, delegated responsibility, and a self-service option that takes the load off IT. That's exactly what we'll build with you.
