These 5 functions in Microsoft Teams make your life easier!

I've been using Microsoft Teams for some time now and keep discovering new features that help me in my daily work. I would like to share a few tips and tricks with you today. How do you currently use Teams? Are there any other functions that you use on a daily basis? Feel free to let me know in the comments!

 

I often receive important information in a Teams chat or mail and even more often it happens to me that after some time I wonder who sent me this information again? And when exactly? That's when the big search begins...

 

Fortunately, Teams has a great function here that makes this much easier for me - messages can be saved.

 

This means that I can select a message, save it and then easily access it again, directly in the original context.

 

 

Thanks to saving messages, I can easily find important information again and with another cool feature - sending links to posts - I can easily share them with my colleagues.

 

What has sounded like so far:

 

"Hey, where can I find the information about our next event?" - "XY posted it a few weeks ago in the "Marketing" team in the "Events" channel. See if you can find it"

 

Sounds like this now:

 

"Hey, where can I find the information about our next event?" - "Hold on, I'll send you the link to the post"

 

 

Over time, I have accumulated more and more teams and even more channels. But how often are all of a team's channels really relevant to me at any given time? Rarely.

 

That's why I've gotten into the habit of going through my teams and channels once a month. I display the ones that are currently relevant to me and hide all the others. This is a big advantage for me as I am not overwhelmed with irrelevant notifications. Of course, I still have access to all channels with just a few clicks, they are just no longer displayed directly in the menu.

 

I also pin the channels in which I am currently particularly active so that I can access them directly and see what's new more easily.

 

 

If I have an announcement or a post that belongs to several topics and which I would therefore have to copy to several teams/channels, I like to use the option of being able to post a message to several channels.

 

 

This is just a small selection of the many different functions in Teams.

 

Finally, I would like to briefly point out the great search function and the many helpful short videos directly in Teams.

 

In Teams, the search box is always displayed at the top. On the one hand, it offers the option of finding content based on search terms, but it also has more advanced functions (shortcuts). For example, I can send a chat message or change my status directly from there.

 

If you would like to delve deeper into the shortcuts of the team search, simply enter / in the search field or get an overview here first. It's worth it!

 

For all those who are new to Teams, the area under Help > Training is also worth a visit. There, the most important functions of Microsoft Teams are explained simply and clearly in short videos.
